Running a live event, step by step

From building your run of show to the moment you click End Event — the whole workflow in one place.

Step 1 — Build your run of show

Each event is made up of speakers, and each speaker has one or more timers (e.g. “Intro,” “Main talk,” “Q&A buffer”). Add them from the event's edit page, and use the ↑/↓ buttons to put them in the order you'll actually run them — that's the exact order Next, Jump to, and auto-advance all follow. An optional scheduled-time label on each timer (e.g. “14:30”) is just a reference note on the run sheet — nothing auto-starts from it.

Step 2 — Share your links

The edit page gives you three ways into the event, and they are not interchangeable:

  • Host view — private, requires your login. This is your controller: keep it open on your own phone or laptop while you run the event. It's not a link you copy and hand to anyone else.
  • Audience viewer (/watch/…) — public, no login needed. Share the link, or copy the QR code image straight into your slide deck or event signage — anyone who scans or clicks it can watch the countdown and submit/upvote questions from their own phone.
  • Speaker monitor (/monitor/…) — public, no login needed. Give this to whoever's on stage as a distraction-free confidence monitor.

Both public links now show a small preview of what they open, next to a one-click Copy link button, right on the edit page.

If the audience viewer is projected on a big screen

It also shows its own small QR code in the corner — attendees can scan straight off the projected screen to open the same page on their own phone, without you needing to read a URL out loud.

Step 3 — Run it live

Start the first timer from the host view. Use Next to move through your run of show in order, or Jump to to skip straight to any timer for any speaker. The rundown bar shifts from green through amber to red as each timer runs down — your speaker sees the same bar on their own monitor. See Timers & host controls for hotkeys, auto-advance, and messaging your speaker in full.

Questions arrive sorted by upvotes as your audience submits them. You can mark them covered or hide them from the host view — see Audience Q&A for moderation and rate limits.

Your speaker controls their own Q&A visibility

There's no host “push this question to the screen” action — instead, the full live, vote-sorted question list is already on your speaker's monitor the whole time, behind a “Show the questions” toggle they control themselves (off by default, so it never surprises them mid-sentence). See Speaker monitor for the rest of what they see, including messages and flashes you send them.

Wrapping up

When the event is over, click End Event (top right of the host view, not the same as ending an individual timer). This finalizes every timer, rolls up a summary report, and emails it to you — see Event summary & reports for exactly what gets recorded and when.
